THE ROLE

The position holder is the primary point of contact for any external or internal parties seeking assistance and is responsible for greeting visitors and ensuring that they are well-informed and cared for from the initial point of contact.

RESPONSIBILITIES

  • Respond to any questions, needs and desires of visitors, and follow up with visitors to ensure their requests have been met to their satisfaction.
  • Assign visitor passes accurately and direct visitors to the appropriate person/floor.
  • Escort visitors who are coming to meet Senior Management.
  • Answer, screen, and forward incoming phone calls, both internal and external calls.
  • Sending & receiving faxes.
  • Provides accurate information to callers.
  • Ensure that customer issues are resolved in a timely and efficient manner, by taking timely decisions and minimizing all escalations.
  • Record details of incoming/outgoing letters/courier packages and attend to their dispatch/distribution.
  • Obtaining the signatures of the recipients of cheques and filing the delivery slips. Maintain a pleasant atmosphere in the reception area.

THE REQUIREMENTS

  • A recognized Diploma in Business Administration/ HR / Secretarial Studies or any related field.
  • 03 to 04 years of experience in a similar capacity preferably in a conglomerate.
  • The ideal candidate should demonstrate the values of discretion and trustworthiness.
  • She/he should have the ability to work under pressure and should have attention to detail.
  • Good organizational and time management skills.
  • Ability to be flexible and adaptable to juggle a range of different tasks and to work extra hours to meet deadlines.
  • Furthermore, she/he should have an inspiring personality, be an exceptional team player with excellent communication skills, IT literacy and have the ability to build strong relationships across all levels of the organization.
